Grants Management Information System (GMIS)

What is GMIS?

Grants Management Information System (GMIS) is used to administer and track grants and other procurement actions.  GMIS acts as a planning tool and as a data management tool. GMIS keeps track of grant-specific information such as:

  • Fiscal information.
  • Data collected from grantees reports detailing program activities/effectiveness.
  • Grantee contact information.
  • Grant/grantee tasks and due dates.

The data in GMIS provides accurate reports detailing grant, grantee and, monitor activities and information.

How is GMIS Structured?

GMIS is made up of seven sections, each represented by a button on the Main Menu (home page):

  • Fiscal tracks grant fiscal information such as amounts and dates of disbursals and fund availability.
  • Reports includes reports designed to address specific needs based on information entered in other GMIS sections. Reports differ from Queries in that they are systemic. Queries can be run or created separately to provide customized data.
  • Contacts lists contact information by Agency or Grant Identification Number.
  • Task Manager a tool for tracking, planning and managing activities, tasks, due dates, etc. 
  • Grant Manager templates that provide basic grant information such as grant status, important dates, designation and award dollar amounts, etc.
  • Administrative (limited access) allows GMIS administrators to adjust parameters and options available to ordinary users
  • Databases includes form templates for entry of data from grantees data reports. 

Who Uses GMIS?

Grant specialists (monitors), supervisors, administrators, administrative assistants in the Authority's Federal and State Grants Unit use GMIS on a daily basis. Other common users include Fiscal Department and Research and Analysis Unit personnel.

What Data is Stored in GMIS?

Basic information about all of the Authority's grants and grantees is stored in GMIS. GMIS information can include, but is not limited to:

  • Grant designation dates, signature dates, and periods of performance.
  • Grant designation and award totals.
  • Grant goals, objective, and accomplishments.
  • Grant program focus, criminal justice component, victim population, type of crime addressed, type of service provided, and geographical areas served.
  • Grant expenditure tracking.
  • Grantee contact information.
  • Grant specialist task planning and management.
  • Grant program data such as demographics relating to victims and perpetrators of crimes.

How Does the Authority use GMIS Data?

GMIS includes a comprehensive set of reporting tools that facilitate data mining and analysis. These tools include standard reports as well as an ability to conduct specialized queries to collect specific data. Data provided by GMIS is utilized in grant program planning and it is used at local, regional, and state levels to identify emerging trends and to effectively target limited resources.
